The problem

The supplier’s invoice is the only record

The crew changes daily, the sign-in sheet doesn’t talk to the invoice, and the hours hit the job budget a month later, at the charge-out rate, not the wage rate. Nobody can verify the hours you’re paying for.

The crew changes every day

New names on site each morning, and no single record of who worked on which job.

Hours slip when you’re not there

If you’re not on site, the hours on the supplier’s invoice are the only version you get.

You end up writing the invoice

“We actually work out how much money we owe him and then tell him.”

Two records, keyed twice

Workers clock in, there’s a paper sign-in register too, and someone types it all into a spreadsheet.

You’re the only check

When you’re hands-on, the hours stay honest. When a project manager runs the site, they’re not you.

Pages of timesheets for one query

“If they think there’s a discrepancy, they’ve got to go back through pages of daily timesheets.”

It shouldn’t work this way

Contractors shouldn’t have to take a supplier’s word for the hours, or stand on site all day, to pay a fair invoice. If you’re paying charge-out rates, you should see every hour and who worked it.

Labour hire leakage calculator

What do unverified labour hire hours cost you a year?

Labour hire workers × charge-out rate × minutes over-billed per day. An illustration to size the problem, not a customer figure.

What you get

Every labour hire hour named, costed and checked

One check-in for every worker, live cost on the job budget, an AI check on every supplier invoice, and compliance for both the supplier and each worker.

Named check-in, straight to the job budget

Every labour hire worker checks in by name with GPS or the site QR, and their hours land on the project budget at the agreed rate, so you see labour hire spend against the quote every day, not at the monthly invoice.

  • Checked in by name
GPS or site QR, same app as your own people.
  • Crew changes, record doesn’t
New faces each day, one record per worker.
  • On the job budget, live
Hours costed at the agreed rate as they happen.

AI reads the supplier’s invoice

Every line on the supplier’s invoice is matched to worked hours, so you pay for the hours actually worked and send the correction with the evidence attached.

Hours not worked, missing check-ins and rates above the agreed rate are flagged with the dollar difference.

Approve, correct or decline

You choose what happens to each invoice. A correction goes back to the supplier with the check-in records attached, so pushback comes from the record, not from you.

Compliance on two levels

The supplier’s labour hire licence, public liability and workers’ comp, plus each worker’s white card, licences and high-risk tickets, so only cleared people from licensed suppliers are on your site.

  • Expiry alerts on supplier and worker documents.
  • Check-in blocked on lapsed documents.

The plan

Labour hire on the record in three steps

  1. 01

    Add your suppliers

We load each supplier’s licence, insurance and agreed rates. They add their crew, or send us the list.

  2. 02

    Crew get an SMS link

They check in at the gate with the same app as your own people. No training needed.

  3. 03

    The first invoice gets checked

The AI matches it to check-ins and shows you every line that doesn’t add up.

One check-in on site

Employees, subbies and labour hire together.

No training needed

Workers get an SMS link and check in.

Only the lines that don’t add up

Clean invoices go straight through.

You decide

Approve, request a correction or decline.

Worried about another sign-in on site, or that disputes will wreck the relationship?

There’s one check-in for employees, subbies and labour hire, so nobody runs a second sign-in. And the correction comes from the check-in record, not from you. You choose to approve, request a correction or decline.

We get it

We know what it’s like to get a labour hire invoice for a week you weren’t on site, and pay it, because arguing over a couple of hours costs more than the hours.

So we built one check-in record per named worker, and an AI that checks the supplier’s invoice against it.

“If you’ve got a lot of labour hire, and hourly rate people spread across jobs… this would be a no-brainer.”

Before & after

Labour hire, before and after

Before
After

The supplier’s invoice as the only record, a paper register, a monthly reconciliation spreadsheet, and supplier certificates in an inbox, if at all

One check-in record per named worker, supplier licence and worker tickets on file, every invoice AI-checked, and live labour hire cost on every job

“Give and take.” Suspecting a couple of hours here and there, but not wanting the fight

Confident. Pushback is backed by the check-in record, not a hunch, and clean invoices go straight through

On site to keep an eye on things. Month-end: work out what the supplier is owed, chase the invoice, flick through pages of timesheets

7am: see who’s on each site from your phone. Friday: the supplier’s invoice arrives, the AI flags two lines, and the correction goes back with check-in records attached

The owner who has to be on every site, or pay whatever the invoice says

The contractor who runs more jobs without being on each one. The PM has the data, and suppliers know the hours are checked

$80K

A year of unverified hours from 10 labour hire workers

Every unverified hour is billed at charge-out. Construction labourers run $59–$80 an hour, Sunday is 2×, public holidays 2.5×, and there’s a 4-hour minimum engagement (Harrison Barratt 2026; Building & Construction General On-site Award). As an illustration, 10 labourers over-billed 30 minutes a day at $70/hr for 46 weeks is about $80,500 a year. Add the pages of daily timesheets checked by hand, and a monthly spreadsheet to work out what each supplier is owed.
